DESCRIPTION OF DUTIES/ ESSENTIAL FUNCTIONS
The General Services Department (GSD) is seeking an Administrative Specialist that can perform varied professional administrative functions in the support of management, and contract administration and compliance for the Property Management Division (PMD). This position will be responsible for the following duties:

  • Respond to calls and requests from vendors and the Strategic Procurement Division of the City’s Finance Department.
  • Process and file documents. Coordinate property management and service/supply contract issues with client departments. 
  • Coordinate mandatory training for PMD personnel.
  • Schedule appointments, draft, proof, edit correspondence for Assistant Director, PMD and for GSD .
  • Draft correspondence related to PMD service contracts and supply contracts.
  • Monitor and track service and supply contract expenditures.
  • Assist with drafting scopes of work and specifications for PMD procurements.
  • Respond to calls and requests from vendors and the Strategic Procurement Division.
  • Monitor PMD contracts and maintain and track changes to PMD contract templates.
  • Prepare routine and special reports for PMD and GSD.
  • Coordinate, prepare and track reimbursement requests and personnel licensing renewals.
  • Provide Kronos training to GSD personnel.
  • Assist PMD personnel with SAP issues and conduct training for requisitioning and receiving
  • Process PMD requisitions, service entry sheets and receivers for service and supply contracts
  • Maintains accurate and organized files.
  • Perform other duties necessary for the efficient flow of PMD operations or GSD operations as assigned.

WORKING CONDITIONS
The position is physically comfortable; the individual has discretion about walking, standing, etc.
