DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS
Houston Water, Drinking Water Operations (DWO) Branch is seeking an Administrative Coordinator to join its team. This position will perform varied professional administrative functions associated with organizing the development and implementation of administrative and supervisory activities of the assigned branch. The Administrative Coordinator role will handle highly confidential information and provide executive support to various executives with complex organizational responsibilities.
The Administrative Coordinator is the primary contact for administrative tasks requested by the department, service line and branch. Independently complete assigned non-routine tasks to meet goals and may work in a team environment.
Executive Office Coordination
Acts as liaison on matters involving other departments. Specifically, develop business processes to streamline communicating within the branch. Participates in special projects as assigned by department, service line and branch.
Prepares edits and revises branch correspondence and revises procedure manuals. Assists the department/division in the effective discharge of responsibilities by furnishing analyses, appraisals, recommendations and information concerning the activities and programs reviewed.
Oversee DWO’s Training & Development; ensure that all mandatory and annual trainings are complete for DWO employees. Register and coordinate training sessions through Talent Management System (TMS).
Oversee employee records for DWO branch for over 600 employees; records include but aren’t limited to the following: NIMS, TIER, TDL, DDC, occupational licenses, Motor Vehicle Report (MVR) & vehicular crash reports. Coordinate with Human Resource Safety representatives to review vehicular crash (accident) and driving while impaired (DWI) cases to ensure that employees aren’t in violation of A.P. 2-2.
Oversee Branch Human Resources/ Payroll: Point of contact for employees and City of Houston payroll for Kronos timecards issues and training. Provide assistance with NEO-Gov, maintain updated reports of branch vacancies, confined space entry and policy promotions.
Oversee DWO’s Communications; ensure the employees are receiving cell phones, office phones and conference call assistance. Ensure that employees’ information is update in all communication such as Outlook address book and email distribution list.

The position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.
This is a Houston Public Works position at the Tier I Level.
