DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS

Performs varied professional administrative functions associated with organizing the development and implementation of administrative and supervisory activities in either Call Center/Clinic Operations/Immunization:
Job duties and responsibilities of this position include, but are not limited to:

  • Prepares, edits and revises department/division correspondence; prepares, edits and revises procedures manuals.
  • Plans, initiates and implements programs and services to meet the immediate and long-range needs of one or more city departments.
  • Prepares speeches and/or remarks for the department/division head; assists as needed with news releases and public relations; responds to the press, officials, clients and the general public on more sensitive department/division issues.
  • Assists the department/division in the effective discharge of responsibilities by furnishing analyses, appraisals, recommendations and information concerning the activities and programs reviewed.
  • Attends meetings and conferences involving public and private groups and city officials as representative of the department/division head and acts as liaison on matters involving other departments.
  • Researches, analyzes and reviews new vendors, equipment, services and regulations.
  • Participates in special projects as assigned by the department/division head.  
  • May coordinate division/department financial operations, including budget planning, integration and oversight, project cost analysis, expenditure control and accounting procedures.  
  • May coordinate the planning, research, presentation, promotion and evaluation of special programs such as grants.  
  • May supervise, guide, train or evaluate staff.

    CORE JOB DUTIES FOR ADMINISTRATIVE COORDINATOR FOR COVID-19 VACCINE SCHEDULING/CALL CENTER
     
  • Perform varied administrative functions associated with organizing the development and implementation of administrative and supervisory activities of the COVID-19 Response Plan.
  • Administrative Coordinator
  • Oversees vaccine scheduling unit
  • Process and understands end-to-end process of vaccine scheduling
  • Handles highly confidential information
  • Implements work priorities and evaluates outcomes in line with program goals.  
  • Oversees vaccine scheduling portal and coordinates with other teams to gather information to properly set up a vaccine schedule
  • Vaccine Operations and inventory managers will provide guidance on scheduling sites and goals based on current supply
  • Call Center will need to know appointment availability at clinic sites
  • Vaccine Administration will need to know the anticipated volume of clients
  • Coordinates with IT to troubleshoot and identify problem areas in the scheduler and escalate large problems to the vendor Lead the development of a viral hepatitis elimination plan in collaboration with community stake holders.
  • Coordinate the Viral Hepatitis Elimination Technical Advisory Committee to assist in the development of goals, objectives, priority populations, logical models, and actions plans.
  • Develops planning methods for expanding health services in the community.
    Plans and develops procedures for collecting and using demographic and vital statistical data.
  • Assists with the development and tracking progress of program goals and objectives.
  • Interprets health data into relevant communication health materials for various audiences, including leadership, staff, providers, consumers, and general public.
    Develops evaluation techniques to be used in planning various types of health services.
  • Establishes and maintains relationships with providers of services, consumer services and other planning activities.
  • Develops and presents health education information to community partners and organizations through training sessions, community meetings, and special events
    Applies qualitative research techniques, health planning models, and evaluation frameworks in planning various types of health service and health promotion activities.
  • Assists in programmatic strategic planning including in the development of goals, objectives, milestones and performance metrics.
  • Serves as the HHD liaison to the Houston Viral Hepatitis Task Force.
  • Work collaboratively with Bureau leadership in the facilitation of prevention task forces, community advisory groups and other community engagement efforts.
