Baker Engineering and Risk Consultants, Inc. FORTRESS Protective Buildings was developed from recognizing the opportunity of a gap in available options for a multi-hazard resistant building with a high degree of protection – there was no option for a turnkey solution that can be quickly installed onsite. For BakerRisk, a company focused on assisting clients with risk mitigation solutions, FORTRESS provides an alternative option to the traditional purpose-built building to truly protect site personnel. Leveraging BakerRisk’s decades of R&D, investigation of hundreds of incidents and 35+ years of assisting clients in personnel protection, BakerRisk developed FORTRESS Protective Buildings to provide an optimal solution to protect workers from hazards that may be present at industrial facilities handling flammable, toxic, explosive, or energetic materials.

Immediate full-time position available for an Administrative Assistant.

FORTRESS is seeking an experienced and motivated administrative assistant to work in our Houston office assisting with a broad range of support functions for the operations.

FORTRESS is a small but growing company focused on new construction industrial buildings and provides a work environment in which a motivated individual has the opportunity to cross train and gain career growth through interactions with the larger corporation, BakerRisk.

The ideal candidate for this position needs to thrive in a challenging work environment where each day is different and may include, but is not limited to the following work tasks:

  • Assists with day-to-day administration needs which could range from:
  • Answering and directing phone calls to relevant staff.
  • Scheduling meeting and appointment logistics both in office and for client visits.
  • Being a central point of contact for a range of internal and external personnel.
  • Preparing and filing documents for meetings and business trips.
  • Works with project managers and clients to set up projects, collecting a wide range of information requiring great attention to detail.
  • Assists with ongoing projects through support tasks such as tracking project starts, updating activity logs, and reviewing status of open items weekly. Experience with MS Excel is a plus with this task.
  • Understands accounting in order to work closely with Accounts Receivable and Accounts Payable to resolve any billing, invoice, and/or budget issues in support of FORTRESS project team members.
  • Has the ability to research contract and accounting issues if a problem arises, so exposure to A/R, A/P, and contracting is key.
  • Prepares and tracks purchase orders and other relevant vendor information.
  • Completes records for projects in company software (setup projects for billing; increase budgets as requested, setup new client accounts). Knowledge of Microsoft Dynamics SL would be a plus.
  • Quality control of projects as they go through the contract opening process as well as closing/extending projects.
  • Develops professional customer relationship to ensure timely project and collection resolutions.
  • Actively trouble shoots; most of the time, without management intervention. This includes finding ways to improve the administrative processes of the company.
  • Interfaces with Compliance Specialist regarding Safety Questionnaire completion and tracking.
  • Has an understanding of contractual language used in the construction industry with enough proficiency to review contracts and identify key milestone and project requirements.

Required Qualifications and Experience

  • 5+ years of experience in as an administrative assistant in a similar industry
  • Communication, Intrapersonal, Teamwork/Collaboration skills
  • Problem solving, critical thinking, and adaptability skills
  • Work ethic skills
  • Project management skills
  • Prior exposure to contractual language
  • Prior experience with accounting processes including A/R and A/P
  • Proficiency in MS Office, with exceptional knowledge of Excel, Word, and PowerPoint

Preferred Qualifications

  • 10+ years as an administrative assistant, with 5+ of those in industrial construction
  • Bachelor’s degree, Certificate, and/or Diploma in Business Administration
  • Knowledge of project and task management tools
  • Experience with Microsoft Dynamics SL is a plus
