This role is responsible for providing administrative support to the Procurement and Administration team in a prompt and efficient manner while maintaining a high level of professionalism and accuracy.

Description of duties includes:

  • Provide office services to management and staff:
    • Perform a wide range of administrative services and general support duties of a highly responsible and confidential nature
    • Assist the department with the coordination and presentation material, primarily prepared in PowerPoint
  • Work accurately and productively with competing priorities and tight time constraints
  • Provide day to day support to various company programs managed by Procurement and Administration
  • Coordinate notifications to vendors and contractors using mail merges, track responses as needed
  • Assist with monthly budget and accounting tasks
  • Prepare and coordinate expense reports and travel arrangements
  • Manage confidential and sensitive information appropriately with great attention to detail
  • Work closely with Facilities, IT, Accounting, and other shared service groups as needed
  • Facilitate department wide communications, maintain distribution lists and organization charts
  • Assist with various department rollouts and system implementations
  • Other duties as assigned

Position may be filled at various levels depending on experience and job skills of successful candidate

Position Requirements

Position Requirements:

  • High school diploma
  • Progressive administrative experience in a fast-paced and detail-oriented office environment
  • Must be able to timely complete work in a prioritized and organized fashion
  • A self-starter with the ability to work with minimal supervision and organize, keep up to date, and effectively manage projects assigned or maintain up to date records that are on-going
  • Must be able to work with a team, take direction from staff, follow work rules, and adhere to established work schedules including vacation coordination
  • Must be flexible and adaptable to change
  • Administrative excellence including strong attention to detail coupled with the ability to identify and resolve issues/problems of varying complexit
  • Technical writing experience, for the purpose of creating presentations and training material
  • Must have strong verbal and written communication skills to communicate with various audiences both internally and outside the organization.  Discretion is critical.
  • Fully proficient (intermediate to advanced level) in using Microsoft applications (Outlook, Word, Excel and PowerPoint)
  • Requires a high level of tact and integrity due to the frequency of senior-level internal and external contacts

Preferred Experience, Skills and Knowledge:

Above the minimum requirements not required, but advantageous in this position:

  • College degree preferred
  • A broad knowledge of corporate operations and policy, and high level of experience, discretion and technical skills
  • A minimum of 5 years of administrative experience supporting multiple leaders along with a large team
  • Proficient in using SharePoint and Visio

Competencies/Skills Conditions:                 

Very little business travel is anticipated, however, must possess and maintain a valid driver’s license, and a driving record satisfactory to the company and its insurers

  • Successful candidate will be expected to pass a credit and background check
