This candidate will be assisting in all aspects of the Gowan/Garrett Mechanical Tenant Department. Administrative Assistant duties and responsibilities include providing support to office personnel and field employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
Principal Duties and Responsibilities include the following. Other duties will likely be assigned.
- Answering Multi-line Phone System
- Issuance of Purchase Orders and Subcontract Numbers
- Processing change orders for Purchase Orders and Subcontracts
- Issuance of Job Numbers
- Pull permits
- Billing Assistance including assistance with Textura and GC Pay
- Payroll Entry/ Verification
- Order office supplies
- Project Submittals
- Project Operation Manuals
- Committed Cost Clean Up
- Forecast Entry
- Copy/Scan drawings
- Coordinate bid requests including working in Procore, Building Connected, Isqft, etc.
- Assist in the preparation of regularly scheduled reports
- Additional Clerical Duties as needed
- Construction administration experience a plus
- Proficient in MS Word, MS Excel and Windows Platforms
- Excellent organizational and multi tasking skills
- Ability to work well with others
- COINS knowledge is a plus but not required
- 5-10 years of experience preferred
While performing the duties of this job, the employee is regularly required to talk and hear; move within the office to meet with employees. This position requires ability to work at a computer (reading and keying) for extended periods of time. This role requires communicating verbally and in writing one on one.
