OBO is seeking a smart and motivated Administrative Assistant to support OBO’s Executive team. The ideal candidate is a natural problem solver who supports the executive in ensuring that time is spent productively and efficiently. You will be highly organized and professional, resourceful, efficient, flexible and will thrive in a fast-paced environment. Must have excellent written and verbal communication skills. 
In this role the successful candidate will be responsible for:

  • Providing full-scale administrative support to executive level OBO staff.
  • Preparing and proofreading correspondence, reports, forms, documents, etc. for supervisor’s approval. 
  • Preparing periodic and special reports.
  • Managing the calendar with precision, including scheduling meetings, appointments, and travel arrangements; coordinating meetings by arranging meeting locations; preparing and distributing meeting notices and agendas; procuring audio/visual equipment and ensuring proper setup. 
  • Acting as a strategic partner with executive staff to continually improve productivity, understand priorities, and ensure most efficient use of time. 
  • Partnering with executive level staff to track action items and working with assigned leaders to ensure appropriate follow up.
  • Routinely fielding and addressing customer inquiries within prescribed timelines.
  • Preparing and submitting expense reports for supervisor.
  • Procuring and/or coordinating necessary supplies end services.
  • Working with the Contract Compliance and Certification & Designations Divisions on special projects, as needed.
  • Assisting with special department-wide projects in support of OBO’s mission.
  • Performing other position-related duties, as assigned.

The position occasionally requires stooping or bending.  Occasional very light lifting, such as three or four reams of papers or books (up to 20 pounds or an equivalent weight) may be required
